On WhatsApp · for clinics

The empty chair is the loss. Mawid fills it.

Automatic WhatsApp reminders, confirm or cancel with a one-digit reply, and an instant alert to reception the moment a slot frees up so it gets refilled. Plus one monthly number that tells the owner whether it is paying off.

The first figure is our own observation of clinics we have worked with, not a published study — a 2025 Saudi study cites published rates of 11% to 30%. The rest come from the product.

What happens every day

The whole appointment book lives in WhatsApp and a whiteboard

These are not software problems. They are lost appointments and revenue that never comes back.

“The chair sat empty. He never came.”

A fifth to a third of booked slots are no-shows. Nobody chases patients the day before, because reception is drowning in chats.

“When is my appointment? I need to move it.”

Hundreds of conversations a day, every one a manual lookup. Messages after hours and on Fridays simply go unanswered.

“How many patients did we lose last month?”

Nobody can answer. Who booked, who cancelled, who never came back — there is no record to query.

“The second session? We forgot.”

Follow-ups and recall visits are forgotten, and the repeat revenue with them.

We are not selling software. We are selling recovered appointments.

How it works

From the booking to the monthly number, in six steps — most of them automatic

  1. 1

    Reception books

Click a free slot, search by phone, pick doctor and service. Save.

    Five clicks or fewer
  2. 2

    Instant confirmation

The patient gets a WhatsApp confirmation the same moment.

    Runs automatically
  3. 3

    Two reminders

24 hours and 2 hours before. They move if the visit moves, and stop if it is cancelled.

    Runs automatically
  4. 4

The patient replies with a digit

1 confirm · 2 cancel · 3 reschedule. Any other text reaches a human and is never guessed at.

    Runs automatically
  5. 5

The time shows as free — and reception knows

A cancellation frees the slot and alerts reception at once. This is where the money is.

  6. 6

The clinic owner sees the number

This month's no-show rate against last month's, and the revenue recovered.

The screens

Designed for reception, sold to the owner

If anything takes more clicks than typing a WhatsApp reply, we have failed. Every screen here was built to that standard.

The complete list

Everything Mawid does, in six parts

Calendar and booking

  • Day view with a column per doctor, week view for the overview.
  • Book straight from a free slot, with a phone search that finds or creates the patient.
  • Services tied to each practitioner, so a dentist sees dental services and a dermatologist sees theirs.
  • Conflict prevention: the same doctor cannot be booked twice at once, enforced in the database and not just the interface.
  • Edit, cancel and mark attendance from the calendar itself.
  • Around 60 medical specialties ready to pick, or type your own.

Reminders

  • Instant WhatsApp confirmation the moment a visit is booked.
  • A 24-hour reminder and a 2-hour reminder.
  • Reminders move automatically when a visit moves, and retire when it is cancelled or marked no-show.
  • Automatic retry on failure; if it keeps failing, it shows in the message log with the reason.
  • Nothing is ever sent for a cancelled or past appointment — it is checked at send time.

Patient replies

  • 1 / 2 / 3 in Latin or Arabic-Indic digits: confirm, cancel, reschedule.
  • Anything else goes to the inbox for a human. The system does not guess.
  • An automatic Arabic acknowledgement, so no patient is left on read.

The inbox

  • One queue for every decision that needs a person, with a counter on every page.
  • Cancellations at the top, with the freed time plainly marked as available.
  • One-click takeover of any conversation the system is handling.

Owner reporting

  • No-show rate month over month, with the arithmetic shown.
  • Estimated recovered revenue at the clinic's own average appointment value.
  • An unmarked-appointments warning, so the number cannot improve for the wrong reason.
  • CSV export that opens in Excel with the Arabic intact.

WhatsApp self-booking

optional, off by default

  • A guided conversation: name, reason, preferred doctor, then genuinely free slots.
  • The visit lands on reception's calendar tagged by source.
  • Reception is notified of every booking and every hand-off.
The limits

What Mawid does not do

These are not gaps we are hiding. They are deliberate limits that keep the product fast, simple and clear of regulated data.

Not in the current version

  • No medical records
  • No prescriptions or clinical notes
  • No invoicing or insurance
  • No online payments
  • No patient app
  • No multiple branches

And why

  • Comprehensive systems get bought and abandoned two months later. A single tool survives because it is used every day.
  • Medical data drags regulatory obligations with it that we do not want to carry on a clinic's behalf.
  • Every extra feature is one more screen the receptionist has to learn.
  • What we do not build cannot break at 2am.
For reception

Her day with Mawid, from opening the calendar to turning off the lights

We know new systems arrive at the front desk as extra work: training, more steps, and new responsibility for something that can break. Mawid was built on the opposite rule — every screen was measured in seconds.

  1. 1

    Morning

You open the calendar. The whole day is there, a column per doctor, every patient's status in colour.

  2. 2

    New booking

Click the free slot, phone number, doctor and service, save. The confirmation goes out by itself.

  3. 3

A patient asks about his appointment

Search by phone, and the answer is in front of you in two seconds.

  4. 4

    A cancellation

It appears in the inbox at once, with the freed time plainly marked. You do not discover it after the time has passed.

  5. 5

    After each patient

One click on “attended”, on the block itself. No second page and no going back.

  6. 6

    End of day

Nothing. The reminders go out after you have left.

    Runs automatically
The guarantees

What will not happen

The system never does this

  • It will not answer a message it does not understand. Anything that is not 1, 2 or 3 comes to you, and the patient is told their message arrived.
  • Nobody can be booked over an existing appointment.
  • It never cancels or moves a visit on its own. A cancellation comes either from the patient replying 2 or from you, and moving a visit is always yours.
  • And if the clinic switches self-booking on, you can pull any conversation away from it with one click and it goes silent.

Training and support

  • One session, forty minutes.
  • Then a direct WhatsApp line to us if anything breaks.
  • We will not leave you explaining to an angry patient that “the system is down”.
For the clinic owner

Four numbers, and one warning

You will not open Mawid every day; your receptionist does. You will open it once a month to ask one question: is this worth what I pay for it? So the dashboard answers with one number, and writes the arithmetic underneath.

What the dashboard shows

  • This month's no-show rate against last month's.
  • Appointments booked, attended, missed and cancelled in advance.
  • Estimated recovered revenue: slots cancelled early and refilled, priced at the average appointment value you set.
  • A warning when appointments have not been marked, because a rate computed from half the data is not a rate.

What we do not promise

  • We do not promise your no-show rate will reach zero. It will not — patients have real lives.
  • We do not promise a waitlist that refills the slot by itself. Refilling is a call from reception; the system tells her when to make it.
  • What we do promise: every cancellation reaches you early enough to refill, and you will know the number instead of guessing it.

Why show the warning instead of hiding it?

Because the fastest way to lose your trust is to show a number improving while the real reason is that someone stopped marking attendance. A number you cannot verify is worthless in a renewal conversation.

Your time commitment: two hours to set up, five minutes a month after that.

Do the sum yourself

Before you talk to us, see what leaves your clinic every month

Three numbers you already know

How many visits go missing in a week? Multiply by 4, then by your consultation fee. That is the money leaving the clinic every month without anyone seeing it.

With simple numbers: 5 missed visits a week and a $20 fee is $400 a month. If Mawid recovers only a quarter of that, it has covered the Small plan.

Missed visits per week × 4 × consultation fee = your monthly loss

After that, the dashboard does it for you

Every month the owner dashboard shows the no-show rate against last month, how many visits were recovered and what they were worth — with the arithmetic written under each figure. If the number does not cover the subscription, you do not need us, and you will see that for yourself.

Compared

Three ways to run an appointment book

Mawid is not the cheapest way, and not the biggest system. It is the way that makes sure the reminder goes out every day, including the busiest one.

WhatsApp and a notebook

  • Reminders depend on reception's time — and on a busy day they do not happen.
  • Cancellations arrive late, or get lost among hundreds of chats.
  • No number at the end of the month: you never learn how many visits you lost.

A full clinic-management system

  • Records, billing, insurance — you may need them, but none of them brings the patient in on time.
  • Every extra screen is one more thing reception must learn, and if it is too much, the notebook is back within two months.
  • Reminders and messages: ask whether they are in the price, and who pays Meta.

Mawid

  • Two automatic reminders over official WhatsApp; the patient replies with one digit.
  • Reception hears about a cancellation the moment it happens, and the time shows as free.
  • One number at month end tells you whether the subscription is paying off.
  • Setup and training are on us, and WhatsApp messages are included in the plan.
Self-booking · optional, per clinic

The patient books it himself on WhatsApp, at 11 pm

The patient messages the clinic number. Mawid asks for a name, the reason for the visit and a preferred doctor, then offers slots that are genuinely free on the clinic's real calendar. On confirmation the visit appears on reception's screen tagged “WhatsApp”. Times and doctors always come from the clinic's own calendar, and nothing is booked until the patient confirms it. If the clinic switches on AI, it only reads the patient's message and words the next question — it never picks a time, books a visit or answers a medical question.

What it will never do — by design
Never moves or cancels an existing appointment. It hands that to reception.
Never answers medical questions, triages or advises.
Never quotes prices and never negotiates.
Never messages anyone first. It only replies.
Off by default. The clinic switches it on deliberately, and can switch it off at any moment.

Four templates, three replies

Mawid runs on Meta's official WhatsApp Cloud API, not on unofficial tools that get a clinic's number banned. This is what reaches the patient, and what they can reply.

Everything about WhatsApp for clinics

What the patient receives

Four templates in Arabic; every message goes out on a Meta-approved template

  • Booking confirmation
  • 24-hour reminder
  • 2-hour reminder
  • Cancellation confirmation

What the patient can do

  • Reply 1 to confirm the appointment.
  • Reply 2 to cancel it, which frees the time at once.
  • Reply 3 to request a change, which reception picks up.
  • And with self-booking switched on, book a new appointment from scratch at any hour, without waiting for the clinic to open.
The schedule

From signing to the first number

Before anything — WhatsApp approval

We start Meta's verification the day we sign. It takes days to weeks and is outside anyone's control. The timeline below starts at setup, and we work on a test number before it so you can see the system running meanwhile.

  1. Day 0

    Setup

We load your practitioners, services and working hours, and connect a WhatsApp number. Two hours of your time, then you are done.

  2. Day 1

    First booking

Reception books the first visit. The patient's confirmation arrives in seconds.

  3. Night 1

    First reminder

The 24-hour reminder goes out on its own, on the clinic's clock.

  4. Day 2

    First reply

A patient replies 1 and the visit turns to “confirmed” on reception's screen. Another replies 2, the slot frees, and an alert appears.

  5. Week 1

    First refilled slot

An early cancellation arrives, and reception calls a patient who wanted an earlier time into it. That is the first recovered appointment.

  6. Month 1

    First number

You open the owner dashboard and see this month's no-show rate against last month's.

What we need from you

A WhatsApp number for the clinic, your practitioners with their services and rough prices, and your working hours. Nothing else.

An easy decision

You do not have to take a gamble to try it

There is no trial in the usual sense. Early clinics get something better: we set it up fully, and you see a real month in your own clinic before you pay.

Free setup and first month

For early clinics: we load your practitioners, services and working hours, train reception, and the first month is on us.

Monthly, no annual contract

If you do not see the number improve, stop in any month.

Messages included

WhatsApp messages are inside the plan, and reminders keep going even past your allowance.

A team in Baghdad

We answer on WhatsApp within a working day, and we accept cash.

Privacy and security

What we store, and what we do not

The full privacy policy

What we store

  • The patient's name and phone number.
  • The appointment time, the practitioner, the service and the status.
  • The reason for the visit, if the patient booked themselves on WhatsApp — a short line they type.
  • The text of WhatsApp messages exchanged, for the audit log — erased automatically after 90 days.

What we do not store

The system is not built to receive them, and we ask clinics not to type them into the notes field

  • No diagnoses
  • No clinical notes
  • No prescriptions
  • No test results
  • No medical images
The protections

Four mechanisms, all of them checkable

Isolation between clinics

Every row belongs to a clinic and every query is scoped to it. Because that is easy to claim, an automated test logs in as Clinic A and tries to read Clinic B's data; it must fail. It runs with every update.

Passwords

Stored hashed with a modern algorithm, and unreadable by anyone here.

Connections

Encrypted in transit over HTTPS only. The server reads the data in order to process it, which is what processing on a clinic's behalf means.

Inbound messages

Their signature is verified before they are accepted, so a third party cannot impersonate a message from your patient.

Ownership and deletion

The clinic owns its data; we process it on the clinic's behalf. On termination we delete it within 30 days on request. That is a clause in the contract.

An honest statement

Data-protection rules differ from country to country, and in some they are still taking shape. We work with the minimum possible data as a precaution, and are currently reviewing our obligations with local legal counsel.

If you have specific regulatory requirements, tell us before we sign.

Common questions

Before you ask

All the questions
Does the patient need to install an app?

No. The patient only uses WhatsApp, which is already on his phone. There is no patient app in Mawid and no plan to build one.

Can we use our existing clinic WhatsApp number?

Usually yes, provided it is not tied to a normal WhatsApp app on a phone. We check this with you during the demo. Many clinics prefer a dedicated number for the system and keep the old one for calls.

How long does it take to go live?

Setup inside the system takes a day. The real wait is Meta's approval of the WhatsApp Business account — days to weeks, outside our control. We start the process as soon as we sign and work on a test number meanwhile.

Can the system cancel or move an appointment?

Not on its own. A visit is cancelled in only two ways: the patient replies 2 to a reminder, or reception cancels it. Moving a visit always stays with reception — even a patient who replies 3 keeps their slot until a person arranges a new time. The booking assistant only ever creates appointments; it never touches an existing one.

Is this a clinic management system?

No, deliberately. No medical records, no invoicing, no insurance, no inventory. Mawid solves one problem: lost appointments. If you need a full administrative system, we will tell you so on the first call.

Demo request

Fill this in and WhatsApp opens with the message written

The form sends nothing by itself — it writes your message and hands it to you in WhatsApp, so you see it before you send it and keep a copy.

Open WhatsApp with the request

Next step

Show us your no-show rate, and we will show you what can be recovered

A 30-minute live demo at your clinic or online. Your receptionist books a visit on the system and the confirmation lands on your phone while we are still in the meeting.
