Reminders and booking, on WhatsApp

Your patient will not install an app for your clinic. But WhatsApp is already open on his phone, and your message reaches him there without him learning anything new. That is why Mawid is built on WhatsApp rather than around it.

Official WhatsApp, not workarounds

Two ways to automate WhatsApp, and one of them burns your clinic's number

The first is an unofficial library driving a headless copy of WhatsApp Web — cheap, fast, and against the terms of service. The usual outcome is a banned number.

For a clinic's line that is catastrophic and un-appealable: you lose your patients' conversation history and their way of reaching you in the same instant.

Mawid uses Meta's official WhatsApp Cloud API. Slower to set up, because approval takes days to weeks and is outside our control, but it is the only path that does not gamble with your clinic's number.

A banned clinic number does not come back. That alone is reason enough.

What happens on the phone

Four templates, three replies

What the patient receives

Four templates in Arabic; every message goes out on a Meta-approved template

  • Booking confirmation
  • 24-hour reminder
  • 2-hour reminder
  • Cancellation confirmation

What the patient can do

  • Reply 1 to confirm the appointment.
  • Reply 2 to cancel it, which frees the time at once.
  • Reply 3 to request a change, which reception picks up.
  • And with self-booking switched on, book a new appointment from scratch at any hour, without waiting for the clinic to open.
Before you start

What to know about WhatsApp Business

What is the WhatsApp Cloud API?

It is the official way Meta lets software send and receive WhatsApp messages. Every message passes through Meta's servers under your clinic's name and number, and Mawid checks Meta's signature on every incoming message before accepting it, so nobody can fake a reply from your patient.

The 24-hour window, in plain words

When a patient messages the clinic's number, you can reply freely for 24 hours after their last message. Outside that window, WhatsApp allows only templates Meta has approved in advance.

That is why confirmations and reminders are sent as templates: each one is text Meta approved, and it arrives even if the patient has never messaged the clinic.

What a clinic needs to start

  • A phone number that is not in use by the ordinary WhatsApp app on a phone.
  • A Meta business account — we take you through the business verification.
  • Your doctors, their services and your opening hours. We do the rest.

Approval is Meta's and takes from days to weeks. We start it the day you sign, and run you on a test number until it lands.

The questions we always get

Before you ask

Do I need a new number?

A dedicated number is cleaner, but your existing clinic number can work if it is not tied to a normal WhatsApp app on a phone.

How long does approval take?

Days to weeks. Meta verifies your business identity first. We start the process on day one and demo the system on a test number until approval lands.

What do messages cost?

Included in your plan. Meta prices by conversation category and country, plans include a monthly allowance, and anything over it is billed at Meta's price plus a small margin, itemised on your invoice.

Next step

Show us your no-show rate, and we will show you what can be recovered

A 30-minute live demo at your clinic or online. Your receptionist books a visit on the system and the confirmation lands on your phone while we are still in the meeting.
